Jobs board & job cards
Every job on one board. Each job opens to a screen of cards: tasks, photos, materials, extras, plans, schedule, billing, reports, scans and more.
How it works
- Open Work → Jobs. The board has stats, filters, and overdue, upcoming, unassigned and job-value widgets.
- Tap a job to open its cards.
- Use the ••• menu → Customize Cards to drag cards into order, hide them, or add extra cards (RFIs, Safety Meetings, Accident Reports, MSDS).
- The layout is saved per person and applies to every job.
On iPad and Mac the board becomes a list with the job beside it, and a job can open in its own window.
What it replaces
A whiteboard, a folder per job, and texts scattered across phones.
The honest part
- Crew get a trimmed layout with no money cards and no owner or office-staff cards.
- There is no general "Documents" card. Plans (PDFs) are the document card.
Job progress bar (% complete)
Shows how far along each job is.
How it works
- Completed tasks ÷ total tasks, unweighted.
- It shows on Home's Active Jobs card, the iPad job list, and Team Status.
What it replaces
Guessing, or calling the lead.
The honest part
- A job with no tasks shows 0%.
- Every task counts the same, whether it's "pick up permit" or "frame the second floor."
- The bar isn't on the job screen itself.
Photos & site panoramas
Keeps job photos and wide site shots with the job.
How it works
- The Photos card holds the job's photos and video.
- The Site Panoramas banner takes a photo or imports one from your library, with a zoom-and-pan viewer.
What it replaces
Digging through the camera roll.
The honest part
- The app doesn't capture or stitch panoramas. Shoot them in the iPhone Camera's Pano mode, then import.
Project schedules (Gantt)
Builds a trade-by-trade schedule that recalculates when something moves.
How it works
- Open the job's Schedule card, or Work → Project schedules.
- Add trades and set durations in working days.
- Link trades so one starts when another finishes. A trade can also be locked to a fixed date or given an earliest start.
- The engine finds the critical path and shows the finish date and slack against your target date.
- Zoom in and out. Save it to a job or as your own template.
What it replaces
A paper calendar, or a spreadsheet you redo every time the drywaller is late.
The honest part
- It works in working days.
- It doesn't level resources across jobs.
Schedule templates
Starts a schedule from a ready-made trade sequence.
How it works
- "Start from a template" offers 13 built-ins (Kitchen, Bath, Room Addition, Full Home, Basement, Roof, Deck, Interior Repaint, Flooring, Siding, Garage, Water Heater, Fence) plus any you save.
What it replaces
Rebuilding the same kitchen schedule every time.
The honest part
- Templates are starting points. Durations are typical, not yours, until you edit them.
AI schedule builder
Drafts a Gantt schedule from the job's plans.
How it works
- Tap Gantt → "Build with AI", or Plans card → "Build schedule from these plans".
- The AI reads up to 3 of the job's newest plan sets and proposes trades, durations and links.
- You see a preview. Nothing changes until you tap Apply.
What it replaces
Sitting down with the plans and a legal pad.
The honest part
- Pro.
- Owner and office staff only.
- Needs a real job with plans attached.
- No prices, contacts, subs or crew names are sent to the AI.
- Expect to adjust it. It gets you a draft, not a final schedule.
PDF plans with markup
Keeps the plan set on your phone or iPad and lets you mark it up in the field.
How it works
- On the job's Plans card, tap Add Plan and pick a PDF.
- Open it and tap Markup. Tools:
- Pen
- Text
- Highlight
- Rectangle, Ellipse
- Arrow
- Cloud
- Measure (calibrate the scale per page)
- Punch pin
- Markups save into the PDF, and you can share the marked-up PDF.
What it replaces
A roll of paper plans and a red pen.
The honest part
- Apple Pencil works, but so does a finger. The Pencil isn't required, and markup works on iPhone too.
- There's no stamp library.
- Crew don't get the Punch tool.
AI plan review & plan reading
Reads plan sheets and flags things to check, answers questions about the plans, and digests a whole set.
How it works
- In the plan viewer, tap AI Review → "Review this page", "Review all pages", or Ask.
- Flags can be turned into punch items with one tap.
- The assistant can also read a plan, digest a whole set (3 pages per pass, using the PDF's text layer too), or create a job from plans.
- Phone numbers and emails are scrubbed before anything is sent.
What it replaces
An initial read-through of the set on your own at night.
The honest part
- Pro.
- Owner and office staff only, never crew.
- It's a second set of eyes, not an engineer. It flags things to check; it doesn't approve anything.
Punch lists pinned to drawings
Drops punch items as pins on the exact spot of the plan sheet, then sends each sub their own items and nothing else.
How it works
- On a plan, tap Punch and tap the spot.
- Add a description, a sub and photos. Items can also exist without a pin.
- Track open and done items on the job's Punch List card, or across all jobs under Work → Punch List.
- The Report PDF shows sheet images with pins, up to 4 photos per item, and checkmarks on done items.
- Send to Subs opens one Mail or Messages draft per sub, with their own PDF attached. Their open items and items marked NEW are included.
What it replaces
A clipboard walk-through, then retyping it into emails.
The honest part
- Owner and office staff only.
- Each send goes out through your own Mail or Messages, one tap per sub.
Change orders with client sign-off
Writes up the change, gets the client's approval, and keeps a running total of approved changes.
How it works
- On the job's Change Orders card, add line items and share the PDF.
- Then get sign-off one of two ways:
- In person: the client types their name and draws a signature on the phone. Approve saves both; Reject stamps the time.
- Client Portal: tap "Send to portal". The client approves or rejects by typing their name, and the decision comes back to the app.
What it replaces
A verbal "yeah, go ahead" and arguments at final invoice.
The honest part
- The portal signature is a typed name, not a drawn one.
- Owner and office staff create, approve, send and delete. Crew see the list and can share the PDF, nothing more.
Work orders
Sends a crew member a defined piece of work with tasks, materials and photos.
How it works
- Open the job's Work Orders card, or Work → Work orders.
- Set priority and add a checklist with prices. Materials are marked "bring" or "on site".
- Status runs pending → acknowledged → in progress → completed.
- Work orders can recur, and each one has a PDF.
- Crew see their own work orders, including in the Team Portal, where they can check off tasks, tap "Got it" and add photos.
What it replaces
A text with a list that gets buried.
The honest part
- Creating one needs the Create Work Orders or Assign Employees permission.
Daily reports & issue reports
Logs each day on site and any problems found.
How it works
- On the job's Daily Reports card:
- A daily report has a title, summary, details, hours, weather and photos.
- An issue report has photo items with severity and a resolved flag.
- Browse by date and export to PDF.
- Work → Field reports lists reports across jobs. Crew see only their own jobs.
- "Smart report" drafts one with AI (owner, Pro).
What it replaces
A paper daily log, or nothing at all.
The honest part
- Available to all roles. The AI drafting is Pro and owner only.
Weekly report
Builds a weekly update for a client, GC or your own files.
How it works
- Pick a week and an audience: Client, GC or Internal.
- Choose sections:
- summary
- daily and issue reports
- time cards
- notes, photos
- change orders, tasks
- materials and expenses
- schedule progress, safety
- Money figures are stripped according to the audience.
- Share it, email it, or send it to the portal.
What it replaces
A Friday-night email written from memory.
The honest part
- Owner and office staff only.
- The sub check-in section is switched off.
Materials inventory & equipment
Keeps company stock and tools/equipment, and sends either one to a job.
How it works
- Work → Materials: inventory with a low-stock count and "Send material to job".
- Work → Equipment: each asset has serial, value, condition, maintenance log and depreciation. Assign it to a job or a person. Insurance-expiry reminders included.
What it replaces
"Who has the laser level?"
The honest part
- There's no barcode scanning.
Property info lookup
Looks up public facts about the job's address and turns the year built into warnings.
How it works
- On the job's Property Info card, tap "Look up property".
- Only the street address goes to Google-grounded AI. It returns, with sources:
- year built
- living area, lot size
- beds, baths, stories, type
- value
- last sale
- owner names
- At the same time the app pulls the FEMA flood zone and the EPA radon zone.
- Keep the facts you trust (Keep / Keep all), and edit any by hand.
- Warnings come from the year built:
| Warning | Built |
|---|
| Lead paint likely | before 1978 |
| Asbestos possible | before 1981 |
| Knob-and-tube wiring | before 1950 |
| Galvanized pipe | before 1960 |
| Aluminum wiring | 1965–73 |
| FPE/Zinsco panel era | 1950–90 |
| Polybutylene pipe | 1978–95 |
| Unknown year | treated as pre-1978 |
If the address changes, saved facts are marked stale.
What it replaces
Zillow, the county assessor site, and memory.
The honest part
- It has its own card on the job screen, in the default layout for owners and office staff. The lookup runs when you tap "Look up property", not the moment an address is typed, so nothing is sent to Google until you ask.
- Pro.
- Owner and office staff only.
- Public records can be wrong or missing, so you review before keeping anything.
- The lead and asbestos flags are age-based warnings, not test results.
- Saved facts stay readable if the plan lapses.
Site Contacts card
Keeps everyone on the job who isn't your crew: architect, PM, engineers, inspectors, homeowner, tenant, HOA, fire chief, security (38 roles plus custom).
How it works
- Add someone by hand or tap "From iPhone Contacts".
- Call, text and email buttons on each person.
- Names feed the Site Safety Plan poster.
What it replaces
A sticky note on the dash.
The honest part
- The owner edits; everyone else reads.
- Crew phones don't receive the list.
Subcontractors card & Daily Check-In
The Subcontractors card shows the subs on the job and their crews. Daily Check-In signs sub workers on and off site.
How it works
- The Subcontractors card pulls subs from the schedule plus any added by hand, expands to foreman and workers, and has a Message sheet with templates.
- Daily Check-In: you or the job lead sign sub workers in and out, with a full-screen site log by day. Your own crew come from their time cards.
What it replaces
A paper sign-in sheet.
RFIs
Tracks questions to the architect or engineer until they're answered.
How it works
- Add the RFIs card via Customize Cards.
- New RFI. Statuses: draft, open, answered, closed, void.
- The card shows open, overdue and answered counts.
- Export an RFI log PDF. Send and remind by email or text from templates.
What it replaces
An RFI spreadsheet.
The honest part
- Overdue RFIs show on the card; there's no push reminder.
- It tracks RFIs; there's no submittals log.
Safety Meetings
Runs a toolbox talk and records who attended.
How it works
- Add the Safety Meetings card via Customize Cards.
- Pick from about 50 OSHA-reviewed topics in 5 groups.
- The crew signs in with drawn signatures; walk-ins type their name.
- Make a PDF and email it.
What it replaces
The binder of photocopied talks.
Accident reports
Documents injuries, near misses, damage and vehicle incidents, and tracks the reporting deadlines.
How it works
- Open the job card, or Work → Accident Reports.
- Guided report with OSHA/UOSH deadline banners (8 and 24 hours) and reminders.
- PDF output.
- The assistant can draft the report from what you tell it.
What it replaces
A blank incident form found after the fact.
The honest part
- Owner and office staff only.
- It reminds you of the deadlines; it doesn't file anything with OSHA.
MSDS / SDS log
Keeps the safety data sheets for the products on site.
How it works
- The job's SDS card plus Work → MSDS library.
- Import by PDF, document scan or photos. The text is parsed and hazard badges are added.
- Make a binder PDF.
- Sheets sync to crew phones and are downloaded ahead of time for sites with no signal.
What it replaces
The yellow binder in the truck.
The honest part
- The owner adds sheets.
- The parse is a helper. Check the hazard info against the actual sheet.
Jobsite signage & Site Safety Plan poster
Signage prints site signs. The Site Safety Plan poster builds a posted plan with the site map, hazards and emergency info.
How it works
- Work → Signage: about 45 English/Spanish signs, a setup pack, and AirPrint.
- Poster editor:
- Layout: site map with markers, routes and zones.
- Details: hazards, PPE and rules, plus a nearest-ER search.
- Preview: PDF, Print or Share. 18×24 output, with a grid and QR code.
What it replaces
A Sharpie on cardboard.
The honest part
- Owner, office staff, or crew who lead the job.
Job costs card
Shows estimated vs. actual cost, profit and margin for the job, including wages.
How it works
- It totals time, materials, extras and expenses against the job price.
What it replaces
Finding out you lost money in April at tax time.
